What you'll be stepping into

KEY JOB FUNCTIONS AND RESPONSIBILITIES

1. Database Development and Management

  • Develop, maintain, and secure an efficient centralized database for project information.

  • Consolidate participant and programme databases and ensure regular updating, cleaning, validation, and maintenance.

  • Establish database management protocols, procedures, and standards.

  • Ensure appropriate data security, confidentiality, and compliance with applicable data protection requirements.

  • Maintain accurate, reliable, accessible, and well-organized project information.

2. Data Collection and Analysis

  • Support the design and implementation of data collection tools and systems for programme monitoring.

  • Ensure accurate, complete, consistent, and timely data collection, entry, cleaning, and analysis.

  • Analyse programme data to identify trends, gaps, and insights that support project implementation and decision-making.

  • Generate reports, tables, dashboards, and data visualizations for programme monitoring and management.

3. System Integration and Maintenance

  • Integrate different data sources and facilitate seamless data flow within the MIS.

  • Regularly maintain, update, and troubleshoot MIS systems to ensure efficient operation.

  • Provide technical support to staff on database and MIS-related issues.

  • Ensure MIS platforms are accessible, user-friendly, secure, and responsive to programme information needs.

4. Training and Capacity Building

  • Train project staff in data collection, entry, management, analysis, and effective use of MIS systems.

  • Develop user guides, training materials, and other resources to improve staff understanding of data systems.

  • Conduct regular capacity-building sessions to strengthen staff data-management and analysis skills.

  • Provide ongoing technical guidance and support to MIS users.

5. Monitoring, Data Quality and Reporting

  • Monitor data quality and implement appropriate data quality assurance and validation measures.

  • Ensure project data is consistent with the programme's Monitoring, Evaluation, Accountability and Learning (MEAL) frameworks.

  • Conduct routine data checks, cleaning, validation, and reconciliation.

  • Prepare regular reports, summaries, dashboards, and analytical outputs from MIS data.

  • Provide accurate information required for internal management, programme monitoring, and donor reporting.

6. Collaboration and Communication

  • Work closely with the MEAL team to ensure that data systems and processes are aligned with programme objectives.

  • Collaborate with programme teams and other staff to understand and meet their data and reporting needs.

  • Support programme teams to use data effectively for planning, implementation, monitoring, and decision-making.

  • Participate in team meetings and provide regular updates on MIS activities, data quality, system performance, and emerging data-related challenges.

ESSENTIAL QUALIFICATIONS AND EXPERIENCE

The ideal candidate should possess:

  • A Bachelor's Degree in Information Systems, Computer Science, Statistics, or a related field.

  • At least 3 years of experience in database management, MIS, data management, or a related position.

  • Proficiency in database systems such as SQL and MS Access.

  • Strong data-analysis skills using tools such as Microsoft Excel, SPSS, and STATA.

  • Good understanding of data protection, privacy, security, and compliance standards.

  • Excellent analytical, critical-thinking, and problem-solving skills.

  • Strong organizational and multitasking abilities.

  • Excellent communication and interpersonal skills.

  • Ability to train, mentor, and build the capacity of staff in data management and MIS use.

DESIRED QUALIFICATIONS AND EXPERIENCE

The following will be an added advantage:

  • Experience working in the humanitarian or development sector, particularly in Monitoring and Evaluation.

  • Familiarity with Monitoring, Evaluation, Accountability and Learning (MEAL) frameworks.

  • Experience managing online/mobile data-collection platforms such as:

    • ComCare

    • ODK

    • KoboToolbox

  • Experience with data visualization and business intelligence tools such as Tableau and Power BI, including integration with SharePoint sites.

  • Knowledge of programming languages such as VBA, Java, or C, particularly R or Python for data analysis.

  • Understanding of mainstreaming principles, including:

    • Gender

    • Disability inclusion

    • Safeguarding

    • Child protection
