What you'll be stepping into
Manages the front office reception desk and provides essential routine administrative support across company departments.
Serves as the primary point of contact for incoming visitors and callers, upholding professional company representation and site security standards.
Key Duties & Responsibilities
Welcome visitors courteously and capture required details in strict accordance with site access procedures and security rules.
Confirm scheduled appointments before directing guests to appropriate staff members or meeting spaces.
Answer, direct, and accurately record incoming telephone calls while providing authorized information to callers.
Receive, track, and distribute incoming mail, courier deliveries, and official documents, and prepare outgoing dispatches.
Maintain accurate visitor logs, meeting room schedules, office filing systems, and stationery inventories.
Prepare meeting rooms with necessary materials and generate replenishment requests when office supplies run low.
Support administrative tasks including document printing, scanning, photocopying, formatting, and routine correspondence.
Maintain strict confidentiality by ensuring private and sensitive documents are never left exposed at the front desk.
Skills

Computer literacy including word processing, email, and document formatting.

Education Qualifications & Experience
Education Qualifications
Bachelor's Degree or Diploma in Secretarial Studies, Office Administration, Business Administration, Public Administration, Records Management, Communication, Customer Service, Human Resources, Social Sciences, Information Technology, or related disciplines.
Certificate, National Certificate, or vocational office qualification in a relevant administrative or secretarial field.
Uganda Advanced Certificate of Education (UACE) or Uganda Certificate of Education (UCE) combined with appropriate computer or secretarial training.
Experience
No prior work experience required.
Structured onboarding covers company departments, telephone systems, visitor protocols, document handling, office software, correspondence, security rules, stationery control, and customer care.
