JOB DESCRIPTION

The Monitoring and Evaluation Assistant will support the collection, management, verification, analysis, and reporting of SAYE Project data to ensure that accurate, complete, and timely information is available for programme monitoring, reporting, learning, and decision-making. The role will work closely with project teams to strengthen data quality, maintain organised records, and support effective monitoring and evaluation processes.

KEY RESPONSIBILITIES

  1. Data Collection and Field Support

  • Support the collection of SAYE Project data from project activities and field-level interventions.

  • Assist project teams and field staff in the proper use of approved data collection tools and procedures.

  • Participate in field data collection exercises and ensure information is captured accurately and completely.

  • Support the use of digital data-collection platforms such as ODK, KoboToolbox, or similar systems.

  • Identify and report data collection challenges, inconsistencies, and missing information.

  1. Data Management and Documentation

  • Support the organisation, storage, and maintenance of project monitoring and evaluation data.

  • Maintain accurate and up-to-date databases, datasets, registers, and monitoring records.

  • Enter and update project data accurately and within required timelines.

  • Organise supporting documentation and ensure data can be easily retrieved when required.

  • Assist in maintaining appropriate confidentiality and security of project information.

  1. Data Verification and Quality Assurance

  • Review collected data for completeness, accuracy, consistency, and reliability.

  • Conduct routine data checks and identify errors, duplicates, missing information, or inconsistencies.

  • Follow up with relevant field teams to clarify and correct identified data-quality issues.

  • Support data verification exercises and routine data-quality assessments.

  • Ensure that verified information is appropriately recorded and maintained.

  1. Monitoring and Evaluation Support

  • Support routine monitoring of SAYE Project activities against planned targets and indicators.

  • Assist in tracking project outputs, activities, beneficiaries, and other relevant programme indicators.

  • Support field monitoring visits and documentation of findings.

  • Provide relevant data and information required for monitoring and evaluation activities.

  • Assist the M&E team in identifying implementation gaps and areas requiring further follow-up.

  1. Data Analysis and Visualisation

  • Conduct basic analysis of project data using Microsoft Excel and other relevant tools.

  • Support the preparation of tables, charts, summaries, and other visual presentations of project data.

  • Assist in identifying basic trends, patterns, gaps, and variations in project performance data.

  • Support the preparation of data summaries for programme teams and management.

  • Apply appropriate data analysis and visualisation techniques within the scope of the role.

  1. Reporting and Information Management

  • Support the preparation of routine M&E and project reports.

  • Compile relevant monitoring information from field teams and project activities.

  • Ensure reporting information is accurate, complete, and submitted within agreed timelines.

  • Assist in preparing data summaries and supporting information for project reporting.

  • Maintain organised records of submitted reports and monitoring documentation.

  1. Technical and Team Support

  • Work closely with project and M&E teams to support effective implementation of data and reporting processes.

  • Provide basic support to field teams on data collection tools and procedures.

  • Assist in resolving routine data collection and management challenges.

  • Participate in M&E meetings, reviews, and other programme learning activities as required.

  • Contribute to continuous improvement of data collection, management, verification, and reporting processes.

REQUIRED QUALIFICATIONS

  • Bachelor’s degree or diploma in Statistics, Monitoring and Evaluation, Public Health, Social Sciences, Development Studies, Economics, Information Technology, Data Science, or a related field.

  • At least two years’ relevant experience in data collection, monitoring and evaluation, research, or project reporting.

  • Proficiency in Microsoft Excel.

  • Familiarity with ODK, KoboToolbox, or similar digital data-collection platforms.

  • Basic data analysis and visualisation skills.

  • Knowledge of Power BI, SPSS, or STATA is an advantage.

KEY TECHNICAL SKILLS

  • Data collection and entry.

  • Monitoring and evaluation support.

  • Microsoft Excel.

  • Digital data collection using ODK and KoboToolbox.

  • Basic data analysis and visualisation.

IDEAL CANDIDATE PROFILE

The ideal candidate should have practical experience in data collection, monitoring and evaluation, research, or project reporting, with strong attention to data accuracy and completeness. The candidate should be comfortable working with Excel and digital data-collection platforms and should demonstrate the ability to support data verification, basic analysis, visualisation, and timely project reporting.
